With executives now able to make business deals from their home offices, conference calls have successfully replaced the need to travel. The human touch is provided through the video and audio components of the conference whereas the file-sharing ability enables the participants to see charts, read graphs and understand figures pertaining to the subject matter. These innovative conference calls means large savings to businesses that now do not need to pay for airline tickets, on site transportation and hotel accommodation as well as entertainment and incidental expenses. The one-time expense involved in setting up the hardware and software of conference calling eventually compensates for itself by saving on ensuing business trips.

 

Yet, there are plenty of plenty who travel and do conference calls at the same time, including traveling sales persons, exchange students who participate in their classroom experience despite being in a different country and ad executives who need to be in several different locations all at the same time. There are plenty of people from different walks of life who need to participate in conference calls and also need to travel at the same time. For them, their trusty laptop is their office and holds all their presentations, assignments, portfolio samples that may need to be shown and files that need to be shared. Besides all of this, their laptop also allows them to have a handy portable office wherever they go.

Such is the popularity of conference calls, that videoconferencing centers are everywhere and are available for rent at several bank buildings and business offices. These rooms can be rented either for hosting a videoconference or for participating in one that is being hosted someplace else.

Here are a few tips on videoconferencing successfully while on the road:

* Book your conference call facility in advance to avoid paying the additional charges that most companies charge for last minute set-up.

* Get technical support even if it means having to pay extra. While you may be a whiz at setting up your office system, different conferencing systems could have different modes of operation and it is impossible to be familiar with them all. That way, in the event that the connection is lost or there is any other mishap, you know there is somebody competent enough to handle it while you focus on the business at hand.

* Go at least a day earlier and tour the conferencing facility that you will be using, especially if you are the one hosting the conference. You need to make sure the venue is litter-free and clean. It should not look obviously rented. Replace other company logos with those of your own.

* Before putting the down payment on any venue, check out the hardware that will be at your disposal. Is it the latest model capable of producing good results or is it some outdated model that is not compatible with your plans? Check out the web cam and ensure that it is capable of producing continuous streaming video. You do not want to be stuck with an outdated model that gives you jerky pictures.

Taking care of these few issues, will ensure that you can host a successful conference call from anywhere in the world.
